PURPOSE OF THE POLICY:
- Ensure Brittany Lane Housing Co-op is adhering to the guidelines as per the Co-operative Housing Act and the Subsidy and the guidelines as per the Alberta Housing Act Rent Supplement Regulation 75/1995;
- Ensure all residents are of equal standing and have undergone the same intake process;
- Outline the requirements for guests that stay for extended times at a members unit and the processes required for related scenarios.
- DEFINITION OF TERMS
For the purpose of this policy we define the following terms:
“Guest” – a person who is not a member and temporarily resides at a member’s unit
A guest can include, but is not limited to:
- A person who is in a relationship with a current member of the Co-op
- Family (not children) or friends of a member of the Co-op
“New Member Applicant” – a guest who has completed an application for membership and is in the process of completing the required steps to become a Co-op member
- STANDARD PROCEDURES FOR MEMBERS WITH GUESTS
In general, members are welcome to host Guests at their discretion as long as the member follows this policy’s RESPONSIBILITY section.
When a Guest’s stay is more than 3 consecutive nights, or more than 10 nights in a calendar month then the member has only the following three options:
- If the Guest’s stay will be less than one month and they are not intending to become a member
The member must notify the Co-op administration by submitting a request with all of the following details about the temporary Guest’s stay:
- The time frame the member will be hosting the Guest
- The relationship of the Guest
- The license plate of the Guest’s vehicle
- If the Guest’s stay will be more than one month and they are not intending to become a member
The member must obtain prior approval from the Co-op administration by submitting a request with all of the following details about the temporary Guest’s stay:
- The time frame the member will be hosting the Guest
- The relationship of the Guest
- The license plate of the Guest’s vehicle
- The Guest intends to become a member
The Guest will now become a “New Member Applicant” and must complete the following requirements within 6 months
- Complete an application to become a member of Brittany Lane Housing Co-op
- Attend a NACHA Information session
- Attend a scheduled interview with the Board of Directors
Upon successful completion of these steps the New Member Applicant becomes a Co-op member and can reside with the hosting member.
- MEMBERS RESPONSIBILITY
- It is the hosting member’s responsibility to ensure that all their Guests or New Member Applicants follow the same guidelines and rules, as members are required to.
- If the member fails to comply with this policy then the member will be required to attend a Board of Directors meeting with termination of residency and membership a possible outcome.
